Privacy Policy

This policy explains what information PickleOps collects, how it’s used, and, since part of PickleOps is intentionally public, what’s visible to other people.

1. Information we collect

Depending on how you use PickleOps, we collect:

  • Account information: your email address, and name if you sign in with Google or set one on your profile.
  • Organization information: organization name, description, and contact details entered by an admin.
  • Player and roster information: name, gender, and DUPR rating for players added to an event roster (by CSV import or by hand) by an organization’s admins, along with the resulting match results, scores, and standings.
  • Phone number: only if an organization enables court-assignment text notifications for an event, in which case a phone number becomes required for that event’s roster. See our Text Messaging Terms for how consent and opt-in work for these texts.
  • Billing information: handled directly by Paddle, our payment processor; PickleOps itself does not receive or store your card details.

2. What’s public: read this part

PickleOps includes a public, no-login player directory and public event/results pages. Specifically:

  • A player’s name, gender, and DUPR rating are searchable by anyone at pickle-ops.com/players once that player has any public registration history on the platform, along with their win/loss record, point differential, and event history across every organization they’ve played for.
  • Event, division, bracket, and standings pages are publicly viewable by default, since they describe games that were actually played.
  • We do not publicly show a player’s email address or any other contact information.

If you’re an organization admin adding players to a roster, make sure the players you add are aware their name, gender, DUPR rating, and results may become publicly visible in this way.

3. How we use information

We use the information above to:

  • Operate the Service: running your events, computing standings, showing your dashboard;
  • Send you transactional email (magic-link sign-in, account-related notices) via Resend;
  • Send court-assignment text messages via Twilio, our SMS provider, only if you’ve opted in (see Text Messaging Terms). Your phone number is never used for any other purpose;
  • Process subscription payments and send billing-related communications via Paddle;
  • Respond to support requests.

We do not sell your information, and we do not use third-party advertising trackers or analytics cookies on the Service.

4. Who we share information with

We share information with the following service providers, only as needed to run the Service:

  • Paddle: payment processing and billing (subscription/billing data, your email).
  • Resend: transactional email delivery (your email address, when we send you a message).
  • Twilio: court-assignment text delivery (your phone number, only if court-assignment texts are enabled for an event you’re on the roster for and you’ve opted in).
  • Google: if you choose to sign in with Google, for authentication only.
  • Vercel / Neon: our hosting and database providers, who store data on our behalf.

We do not share your information with anyone else, except where required by law.

5. Privacy and data usage: court-assignment texts

Specific to the court-assignment text program described in our Text Messaging Terms:

  • Consent to receive these texts is not a condition of participating in any event.
  • Phone numbers are used only for court-assignment text notifications, and are never shared with any third party other than Twilio, our SMS provider, which sends the texts on our behalf.
  • You can opt out at any time by replying STOP to any PickleOps text.
  • Twilio acts solely as our SMS delivery provider: it sends the texts on our behalf and does not use your phone number for its own purposes.

6. Cookies

We use a single functional cookie to keep you signed in (your session). We don’t use advertising or cross-site tracking cookies.

7. Data retention and deletion

We retain your data for as long as your account or organization is active. You can request deletion of your account, or of an organization’s data, by emailing support@pickle-ops.com. Note that removing a player from a roster or deleting an organization may still leave historical match records referencing that player where results have already been publicly recorded, in the same way a real tournament’s results remain a matter of record.

8. Children’s privacy

Creating a PickleOps account or organization requires being 18 or older. Player profile entries for minors may be added by an organization admin as part of a roster (for example, a junior division); we do not knowingly collect account information directly from children.

9. Changes to this policy

We may update this policy from time to time. If we make material changes, we’ll update the “Last updated” date above.
